Who we are

TradeSlip is a quoting and invoicing application for UK tradespeople, operated by TradeSlip ("we", "us", "our"). This policy explains how we collect, use, store, and protect your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What data we collect

When you use TradeSlip, we collect and process the following data:

• Account information: Your email address and password (used for login via Firebase Authentication)
• Business details: Business name, your name, phone number, email, address, trade type, VAT number, company registration number, and company logo — all entered by you in Settings
• Customer data: Names, phone numbers, email addresses, and addresses of your customers, as entered by you when creating quotes and invoices
• Quotes and invoices: The job items, prices, notes, and status of quotes and invoices you create
• Booking data: Diary availability and booking information
• Voice notes: Audio recordings you make for your own reference when creating quotes (stored as part of the quote data)
• Usage data: Anonymous analytics via Google Analytics (pages visited, features used) to help us improve the app

How we use your data

We use your data solely to provide and improve the TradeSlip service:

• To create, store, and send your quotes and invoices
• To manage your customer records and diary bookings
• To authenticate your account and keep it secure
• To understand how the app is used and make improvements

We do not sell, rent, or share your personal data with third parties for marketing purposes. We will never use your data for anything other than providing the TradeSlip service.

Where your data is stored

Your data is stored securely using Google Firebase, which is part of Google Cloud Platform. Specifically:

• Firebase Authentication handles your login credentials. Passwords are hashed and never stored in plain text.
• Cloud Firestore stores your business data, quotes, invoices, bookings, and notes. Data is encrypted at rest and in transit.
• Local storage on your device acts as a cache for offline access. This data stays on your device and is not transmitted elsewhere.

Google Cloud data centres are located in the EU/UK region. Google is our data processor and is bound by their own Data Processing Agreement which meets GDPR requirements.

Data security

We take the security of your data seriously:

• All data is encrypted in transit using TLS/SSL (HTTPS)
• All data is encrypted at rest on Google's servers
• Authentication is handled by Firebase Auth with industry-standard security
• We use secure, token-based authentication — we never see or store your password

Data on your device

TradeSlip stores a local copy of your data on your device's browser storage for offline access and faster loading. This data takes up minimal space (typically less than a few megabytes) and will not significantly affect your device's storage. You can clear this data at any time by clearing your browser's site data for tradeslip.co.uk.

Your rights under GDPR

Under UK GDPR, you have the following rights:

• Right of access: You can request a copy of all data we hold about you. Use the "Export All Data" feature in Settings, or contact us.
• Right to rectification: You can update your information at any time through the app's Settings page.
• Right to erasure: You can request that we delete all your data. Use "Reset Everything" in Settings, or contact us and we will delete your account and all associated data within 30 days.
• Right to portability: You can export your data in JSON format using the Export feature in Settings.
• Right to restrict processing: You can ask us to stop processing your data while we address a concern.
• Right to object: You can object to our processing of your data at any time.

Analytics and cookies

We use Google Analytics to collect anonymous usage data (such as which features are popular and how users navigate the app). This helps us improve TradeSlip. Google Analytics uses cookies — small text files stored on your device. You can opt out by disabling cookies in your browser settings or using the Google Analytics opt-out browser add-on.

Third-party services

TradeSlip uses the following third-party services:

• Google Firebase — Authentication, database, and hosting
• Google Analytics — Anonymous usage analytics
• Vercel — Website hosting and deployment

Each of these services has their own privacy policy and is GDPR compliant.

Data retention

We retain your data for as long as your account is active. If you delete your account, all associated data will be permanently removed from our systems within 30 days. Local data on your device can be cleared by you at any time.

Children's privacy

TradeSlip is a business tool designed for use by adults (tradespeople and business owners). We do not knowingly collect data from anyone under the age of 18. If you believe a minor has provided us with personal data, please contact us and we will promptly delete it.

Changes to this policy

We may update this privacy policy from time to time. Any changes will be posted on this page with an updated "last updated" date. We encourage you to review this policy periodically.

1. Acceptance of terms

By creating an account or using TradeSlip, you agree to these Terms of Service. If you do not agree, please do not use the app.

2. Description of service

TradeSlip is a web-based application that allows UK tradespeople to create quotes, generate invoices, manage customers, track payments, and organise their diary. The app is provided as a Progressive Web App (PWA) accessible via web browsers.

3. User accounts

You are responsible for maintaining the security of your account and password. You must provide accurate and complete information when creating your account. You are responsible for all activity that occurs under your account.

4. Acceptable use

You agree to use TradeSlip only for lawful business purposes. You must not:

• Use the service for any illegal or fraudulent activity
• Attempt to gain unauthorised access to our systems or other users' data
• Upload malicious content or attempt to disrupt the service
• Use the service to send spam or unsolicited communications

5. Your data

You retain full ownership of all data you enter into TradeSlip, including business details, customer information, quotes, and invoices. We do not claim any ownership of your content. See our Privacy Policy for details on how we handle your data.

6. Pricing and subscriptions

TradeSlip offers a free tier with limited features and paid subscription plans. Prices are displayed in the app and on our website. We reserve the right to change pricing with 30 days' notice. Existing subscribers will be notified before any price changes take effect on their account.

7. Service availability

We aim to keep TradeSlip available at all times, but we cannot guarantee uninterrupted service. We may need to perform maintenance or updates that temporarily affect availability. We are not liable for any losses resulting from service downtime.

8. Limitation of liability

TradeSlip is provided "as is" without warranties of any kind. While we strive to ensure the accuracy of calculations (including VAT), you are responsible for verifying the accuracy of your quotes and invoices before sending them to customers. We are not liable for any financial losses, missed payments, or business losses arising from the use of TradeSlip.

9. Cancellation

You can cancel your account at any time. Free tier users can simply stop using the app. Paid subscribers can cancel their subscription, which will remain active until the end of the current billing period. Upon cancellation, you can export your data before your account is closed.

10. Governing law

These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

11. Changes to terms

We may update these terms from time to time. Continued use of TradeSlip after changes are posted constitutes acceptance of the updated terms. We will notify users of significant changes via email or in-app notification.
